Every company has dozens of systems: CRM, LMS, task tracker, HR platform, corporate email. Employees don't remember where to request time off, find a colleague's contact, or enroll in a course. They open the wrong system, write to HR, and wait for a reply.

The bot becomes a single entry point in the messenger employees already open every day. Time-off requests, reference letters, course enrollment, colleague search, IT requests — all in one menu, no logging into separate portals. The request reaches the right system automatically — the employee gets an answer, not HR.

Why it works

🗂 Employees don't need to think about where to go — everything is in one menu in their everyday messenger

⚡ Requests go into CRM without manual entry — the manager sees the task immediately

🤖 No need to remember which system has what — the bot knows everything and responds in 20 seconds

🎓 Course enrollment without emails or approvals — the employee chooses and gets a confirmation

Solution KPIs

⏱ 1 entry point instead of 5–7 systems — employees find what they need in 30 seconds without opening other portals

📊 0 lost requests — every request automatically creates a task in CRM

🤖 20 seconds — response time for any HR question around the clock

🎓 More employees complete training — enrollment takes 30 seconds instead of emailing the training department

Who it's for

Built on an IT company case (150+ employees, CRM + LMS), adaptable to any company with HR processes: tech companies, banks, retail, agencies, manufacturing, healthcare, telecom.

How it works

On first launch, the employee authenticates through the bot — enters their corporate email or full name — and gets access to the self-service portal with sections tailored to their role and department.

HR sets up the bot once: loads the knowledge base for the AI FAQ, connects CRM and LMS, configures the corporate store catalog and employee directory by department. From then on, the bot works independently — receives requests, answers questions, enrolls in courses, shows tasks from CRM. Employees interact in their preferred messenger: Telegram, Slack, or a corporate app.

The employee sees a main menu with 7 sections immediately when opening the bot. Each section leads to its own flow. A time-off request is created in CRM in 3 messages: select type, enter dates, confirm. The manager gets a notification automatically.

The AI assistant answers HR questions from the company's knowledge base — regulations, policies, guides. The training section connects to LMS: the employee sees available courses, chooses, and enrolls in one tap.

What the AI FAQ can do:

❓ How to apply for a business trip, vacation, sick leave

✅ Step-by-step answer from the knowledge base in 3 seconds

❓ How to get a certificate or document

✅ Instructions + link to the relevant policy

HR sees all employee requests in one table in real time: section, request type, details, status, date. The filter by section shows only applications, only training, or only feedback.

The corporate bonus store shows the employee's balance and gift catalog — choose and order in two clicks directly in the bot. The employee directory works by department: select department, select person — get contact details and email in the messenger.

FAQ

Does setup require a developer?

No. The template is configured through the BuddyBot interface without code. Connecting CRM and LMS takes 30 minutes following the instructions.

How does the bot know who is reaching out?

On first launch, the employee goes through verification (full name or corporate email). After that, the bot knows their department, role, and access rights.

Can access to sections be restricted by role?

Yes. For example, the "My Tasks" section can be hidden for employees without CRM access, and the "Gift Store" can be unlocked only after probation.

What happens when an employee leaves?

Access is revoked through the HR system or manually in the BuddyBot panel. The bot stops responding to messages from deactivated users.

Can custom sections be added?

Yes. The template is extensible — you can add meeting room booking, IT requests, company structure, or any other section your company needs.

How do employees find out about the bot?

You share the link in a corporate chat or newsletter. The bot explains what it can do on first launch. You can also set up automatic bot launch from CRM — for example, when a new employee is hired.
